Reservations and Payments

On confirmation of a reservation, a 20% deposit will be required from the client/agent. This deposit will be refundable in accordance with Sunrise Ground Tours cancellation and refunds policy below:

  • Prices do not include airport taxes, visas, telephone calls and entertainment arrangements unless specified in our itineraries.
  • Meals and beverages are only those included in our itineraries; also, items of a personal nature are not included.

Internet clients

For a reservation to be confirmed, a 10% non-refundable deposit is required. Full payment is due in our Malawi Bank Account no later than 30 days prior to arrival. All bookings made within 30 days of arrival must be accompanied by full payment. SGT reserves the right to cancel any reservation for which the total payment has not been received.

Direct clients and Agencies

On confirmation of reservation, a 20% deposit is to be paid. This deposit will be refundable as per SGT Refunds policy below. Full payment is due in SGT Bank Account no later than 30 days prior to arrival.

All bookings made within 30 days must be accompanied by full payment.

Sunrise Ground Tours reserves the right to cancel any reservation for which the total payment has not been received.

Cancellation and Refunds

In the event you wish to cancel your reservation for any reason, such cancellation must be received in writing or email.

Our cancellation policy, which are almost dictated by our supplier’s policies, will be levied as follows:

  • 30 days prior to arrival – 20% of the total
  • 29 days prior to arrival – 50% of the total
  • 21 days prior to arrival – 75% of the total
  • 14 days prior to arrival – 100% of the total

The above charges are in addition to those levied by airlines. Should one fail to join our scheduled tour or, join after a group’s departure or leave before completion of the tour, no portion of uncompleted activities is refundable.

Unused Services

No refund will be considered for any unused services irrespective of whether they form part of an inclusive tour price or where booked as optional arrangements.

Documentation

All customers are personally responsible for ensuring that they are in possession of valid and correct documentation.

SGT does not accept responsibility for any consequences whatsoever from a customer failing to prove his/her obligation. These could include health, passport and visa requirements.

Responsibility

SGT in making arrangements for transportation, conveyance, hotel accommodation or any other service, acts as an agent only and is not liable as a principal.

Furthermore, SGT shall not be liable for any injury, death, loss, damage, accident, delay or inconvenience, however and whatever caused, during any journey, tour, residence or other` facilities arranged through SGT.

Therefore all reservations, bookings and arrangements are made on the express condition that SGT, its staff and agents are not responsible for, and shall be exempt from all liability in respect of any loss, damage, accident, death, delay or inconvenience to any person, or his/her luggage or other property, wherever, whenever and however the same may occur.

Neither SGT nor any person or agent acting for, through or on behalf of the company shall be liable for any loss or damage whatsoever arising from any cause whatsoever and, without restricting the generality of the foregoing, shall specifically not be responsible for loss or damage arising from any errors or omissions contained in its brochure/literature, loss or damage caused by delays, sickness, theft, injury or death. In addition, SGT shall have the right at any time at its discretion to cancel any tour or the remainder thereof or make any alteration en-route, accommodation, price, etc.

In the event of any tour being rendered impossible, illegal or inadvisable by weather, strike, war, government or any other cause whatsoever, the extra expenses incurred as a result thereof shall be the responsibility of the client.

SGT may at its discretion and without liability or cost to itself at any time, cancel or terminate clients booking and in particular without limiting the generality of the foregoing due to illness or the illegal or incompatible behavior of the client, who shall in such circumstances not be entitled to any refund.

The person making any booking will, by the making of such booking, warrant that he/she has authority to enter into a contract on behalf of the other person/s in such a booking and such person’s signature assumes personal liability for payments.

Changes/Alterations

Sunrise Ground Tours does not hold itself responsible for any delays prior or during the course of any tour or booking created by it be through technical difficulties, strikes, weather conditions, political unrest or any other circumstance.

Expenses incurred by any such changes are for the client’s account. Sunrise Ground Tours will endeavour to inform and advise as soon as possible and keep the inconvenience to the minimum. SGT will also try to offer most reasonable costs advice to the client.

Special Requests

These should be specified at a time of booking. SGT will endeavour to assist with these but should such requests attract additional expenses, these will be to the client’s account.

Insurance

Sunrise Ground Tours strongly advise its clients to take comprehensive travel insurance that covers cancellation and curtailment of a trip, illness, baggage loss etc.

SGT will not be held liable for any omission on the part of the client in obtaining adequate insurance.

Release of Travel Documents

Documents (vouchers, tickets, itineraries etc) will be prepared and released only upon receipt of full and final payment and signing of these terms and conditions.

Amendments

Sunrise Ground Tours reserves the right to charge an amendment fee to confirmed tours reservations in addition to any cancellation charges which may be applicable.
